Job Description

Scope of Responsibilities:

1. Compensation and Benefits

  • Process payroll data and review on accuracy and timely disbursement of plantation workers’ advance payment and month-end wage, as well as process the payroll computation (full-cycle) for plantation division office and field employees’ salary.
  • Submit the relevant payroll documents to Finance and the National Union of Plantation Workers (NUPW) for payroll closing and union membership payments.
  • Monitor HR payroll and E-Office (e-leave, e-claim, e-payslip) to ensure its compliance with regulated statutory requirements and timely update employee personal data to the HR system.
  • Monitor and renew insurance coverage for company vehicles and assets for all divisions, by liaising with insurance provider agency and other relevant parties, including submission, compilation and upkeep of documents.
  • Manage all necessary documentation for plantation workers by safekeeping proper filing system and update changes on workers details as and when required.

2. Recruitment

  • Assist and coordinate the recruitment process of Corporate Service, Property, and Plantation divisions including job posting, sourcing and screening of candidates, making interview appointments, receiving the candidates' data, checking relevant documents, joining the interviews, conducting reference checks, and preparing offer letters to successful hires.
  • Work with hiring managers to identify and define specific new hires' requirements, and monitor recruitment status to ensure the process is being carried out effectively and in compliance with internal SOP.
  • Assist in conducting onboarding program/ activities to new joiners and arrange for logistics for the program (office tour, enrollment of the new joiners into the AYERians Whatsapp group, Basecamp, etc).
  • Liaise with universities, colleges, students, and HODs to bring in students for the internship program. Prepare necessary documents as required to ensure the successful implementation of the internship program.
  • Ensure completeness of documents (verify against exit/termination checklist) and smooth process of offboarding including conducting Exit Interviews, for resignation and other type of terminations (retirement, demise, etc.).
  • Maintain and update employee personal files (P-files) in a timely manner by ensuring all related documentations are in order, and to liaise with relevant employees/ new joiners in ensuring completeness of documents in the P-files.

3. Compliance Reports Submission and Estate Liaison

  • Assist in employee-related statistical reports to Internal (auditor, company secretary, finance, sustainability) and External parties (Tax consultant, Bursa).
  • Conduct briefing via Zoom Meeting to the estate to build rapport with estate personnel and guide them on the relevant HR policies and procedures.
  • Ensure compliance with legal, contractual, and statutory requirements. Support estate management on worker-related matters including providing necessary support for foreign workers' applications (if any).

4. Employee Engagement

  • Assist in coordinating and organizing Employee Engagement Programs (Sports Club activities, Team Building, Annual Dinner and Wellness Programs, etc.).
  • Involve in the annual employee engagement e-surveys which collaborate with Mercer Malaysia, CSR activities, and events focusing on ESG aspects.

5. Training & Development

  • Assist in the coordination of training and development programs (reskill or upskill) by tapping on HRDC training programs. Ensure the grant submission, training nomination forms submission before training, and training evaluation forms submission after post-training.

Requirement

Min. Diploma or Bachelor’s Degree in Human Resources or any other discipline.

Preferably 3 years experience in a similar capacity.

Good command of both written & spoken English communication.

Proficient user of Microsoft Office (Excel, PowerPoint, Word).

Pro-active, enthusiastic, and self-driven with a high level of integrity.

Good organizational skills, listening skills, highly motivated, flexible, and result-oriented.
